Submission Information
Submissions Timetable
Only current students, as per Registry, are able to access the system and submit their reflective pieces. It is strongly recommended that your first attempt is before your final term at Imperial. Our experience shows that most students do not succeed at their first attempt.
Students in year one can start populating their portfolio once they register, however, they won’t be able to submit their reflective statement(s) until their second year at Imperial.
Please note that students on a one year course, even if it is a one year UG BSc (such as the Medicine intercalated year), will be able to submit from the start of their course.
Group of Students | First Submissions | Final Submissions |
---|---|---|
Undergraduate students | From start of Year 2 (or start of course for one year courses) | Within Spring term of final year at Imperial. |
Postgraduate Taught | From start of course | Before the final day of course |
Postgraduate Research | From start of course | Before final viva |

Submission Methods
Your reflective pieces can be submitted as one of the three methods below. Whatever method you choose, keep your submission simple and criteria focused.
You can mix and match per stream as streams will still be submitted separately. The same assessment criteria apply to all methods (see the Student Guide for the full assessment criteria).
You must submit your reflective piece through the Imperial Award system.
You must appropriately reference any media not created by you. Your reflective submission is about your developmental journey so be intentional about any media that you use that you did not create.
You may change submission methods when resubmitting for a stream. Keep in mind that assessors check past submissions to gauge whether you have understood and applied their feedback.
Your resubmission must meet the Imperial Award criteria as a stand-alone piece. When resubmitting, we suggest that you keep the content that met the criteria and only amend or edit the content that “Needs development” based on the assessor feedback. This applies to all submission methods.
Written Submission | Video Submisssion | Multimedia Submission | |
---|---|---|---|
Developmental advantage | Practice reflective writing | Practice speaking technique | Practice creative presentation of information |
Limits | 4000 Characters per stream | 6 minutes total per stream. It does not have to be one take, cutting is allowed. | 4000 characters which you may distribute as you would like within the following parameters:
|
Description | A reflective essay. | Video-call style video of you sharing your reflections. | Text, images and/or short video clips to communicate your reflections. |
How to submit | Copy text into the statement textbox on the stream submission page | Create a sharable link to the video which must be on a video-hosting platform (MS Stream, OneDrive, Youtube etc.) and submit it via stream submission page. You cannot submit video files (e.g. mp4). | Create a sharable link to the multimedia submission hosted on an appropriate platform of your choice (e.g. Padlet, Miro, PowerPoint, Word) and submit it via the stream submission page. You cannot submit full files (e.g. .pdf, .jpeg, .doc). |
Important: You must ensure that links used in previous submissions remain live when resubmitting so that an assessor can refer to your previous submissions.
For example, if you submitted a PowerPoint which needed development, then you should make a new copy of the PowerPoint before making changes and create a new share link for your next submission, so the assessor can compare your new version to the original version linked in the previous submission.
